Employee Onboarding in ChatGPT and Claude: Find the Next Task Without Exposing HR Files
A new employee asks, “What do I need to finish before my first shift at the studio?” An onboarding app can show assigned tasks, link the relevant guidance, and explain who owns the next step. It should not expose an entire HR system to answer a simple checklist question.
This example describes a potential MCP app workflow in ChatGPT or Claude. Model Context Protocol tools provide a limited connection to task and knowledge systems. It does not claim that Kernel Apps ships a prebuilt HR integration.
Start with assigned tasks, not a generic checklist
Retrieve the employee’s identity and assigned onboarding plan from the business system. The location, role, and start date may determine which tasks apply. A template can suggest a structure, but it should not overwrite the actual assignment.
Display each task’s owner, due date, status, and required action. Some steps belong to the employee, while others belong to a manager or IT team. Showing those differences prevents a new starter from repeatedly trying to complete something they cannot control.
Link the policy behind the answer
For questions such as where to find the equipment handover form, return a link to the approved document and identify its version or last update when available. If two documents conflict, expose that conflict and identify the policy owner rather than generating a compromise.
Payroll records, identity documents, medical information, and manager-only notes should remain outside a general onboarding toolset. A task can say that an authorised team is reviewing a document without returning the document itself.
What counts as completing a task?
Reading an explanation is not the same as completing a requirement. The task service may allow an employee to acknowledge a handbook, but equipment receipt could require a manager’s confirmation. Use the completion rule associated with each task.
Show the requested change before saving it. If a task needs an approval, create or retrieve the approval request rather than directly granting building access, software permissions, or administrator rights. Those controls belong to the responsible systems and people.
Keep the next action clear
After a confirmed update, show the remaining tasks and any dependency that blocks progress. A useful response might say, “Your handbook acknowledgement is recorded; the equipment handover is waiting for your manager.” It should not declare onboarding complete while required approvals remain open.
Track recurring unanswered questions and tasks delayed by unclear ownership. Review those observations before claiming shorter onboarding times.
