Inventory Checks in ChatGPT and Claude: Find Stock Before Promising a Sale
“Do we have the blue commuter helmet in medium at the city shop?” A useful inventory app answers from the stock system, identifies the exact variant, and separates items on the shelf from items that are already reserved. It should not turn yesterday’s catalogue into a promise of availability.
An MCP app connects an AI host to a business system through Model Context Protocol tools. This example describes a possible retail workflow in ChatGPT or Claude, not an existing Kernel Apps stock integration or a customer result.
What should a stock check return?
A store assistant selects the helmet’s colour, size, and location. The inventory service returns the product identifier, quantity available to sell, outstanding reservations, and the time of the check. “Three recorded at the city shop, one available to reserve” is more useful than “In stock.”
If the service cannot distinguish physical stock from sellable stock, the app should say so. A returned item awaiting inspection should not silently count as ready for a customer. Warehouse stock also needs a transfer estimate before anyone promises same-day collection.
Reserve the exact item the customer chose
The assistant offers to hold one helmet until closing time. Before writing anything, show the store, variant, quantity, reservation expiry, and any conditions the store supplies. The reservation API must check availability again when saving: another checkout may have used the last unit since the initial lookup.
A successful result should include a reservation reference and its current status. If the request times out, look up the reservation using the operation reference before sending another request. Two holds for one customer can make the remaining stock look artificially scarce.
Handle a mismatch at the shelf
The system may report an available item that staff cannot find. Give the assistant a way to record a discrepancy for review rather than changing the stock count from a conversational guess. Offer another location or variant only after checking that alternative.
The customer view should reveal availability and collection details, while internal cost prices and supplier notes stay restricted. A staff connection and a customer connection should not share the same tool permissions.
Can an AI app guarantee availability?
Only the inventory service can confirm a reservation. A lookup is a snapshot, and its wording should reflect that. Measure reservation failures and discrepancies separately from successful lookups before claiming that the workflow improves stock accuracy.
