Invoice Status in ChatGPT and Claude: Explain What Is Open, Paid, or Disputed
A business customer asks, “Which invoices for our workshop are still open?” A connected app can retrieve the account’s invoices and explain the status recorded in the billing system. Its purpose is to make existing records understandable, not to decide accounting treatment or initiate payments.
In this illustrative workflow, MCP tools give ChatGPT or Claude a limited connection to an invoicing service. It is not an announcement of a Kernel Apps accounting integration or financial advice.
Show the amounts with their context
Each invoice needs a reference, issuing entity, currency, original total, recorded balance, and due date. A customer with several branches may need to choose a billing account first. Never combine different currencies into a single “amount due” without a stated, authorised conversion method.
Explain whether a balance reflects posted payments only or includes pending adjustments. The date of the retrieval matters: a transfer made this morning may not yet have been matched to an invoice.
Distinguish payment claims from ledger entries
If the customer says an invoice was paid, let them provide a payment reference through the billing team’s approved process. Do not mark the invoice settled solely because the customer said money was sent. The authoritative service must record the match.
Credit notes, partial payments, and disputed charges should appear as separate facts. A dispute may explain why someone is reviewing an invoice, but it does not necessarily change the balance. Describe the service’s status rather than inventing a policy for what the customer should pay.
Offer a useful billing handoff
The customer selects an invoice and asks about a delivery charge. Prepare a support request containing that invoice reference and the specific question. Show the content before saving, and return the billing case reference after the service confirms creation.
Restrict invoice documents to the authenticated billing account. An invoice number supplied in a conversation is an identifier, not proof that the person is entitled to view the document.
Can the app send a reminder or take a payment?
Those are separate capabilities. A read-only invoice lookup does not need access to bank details, payment execution, or reminder sending. If a business later adds those actions, they require their own permissions and approval flow. Begin with the smallest useful set of billing tools.
Measure unresolved status mismatches and whether a billing case reaches the correct invoice. Keep projected time savings separate from observed results.
