A Simple Job Handover Checklist for Small Service Businesses

When a job passes from one person to another, a short handover helps the next person see what happened and what still needs doing. You can use paper, a shared document or a spreadsheet. This guide is for nontechnical owners of small service businesses; the examples are fictional.

A handover records information for people to review. It does not confirm a booking, complete work or contact a customer.

Before you start

Choose a few open jobs and the work record your business trusts. Agree who can see the handover and who will take responsibility next. For a first trial, use made-up information. For real jobs, share only what the recipient needs and keep private details in an appropriately restricted place. The UK Information Commissioner's Office explains data minimisation for small organisations; local rules may differ.

The handover checklist

For each job, record:

• Reference and task: a short identifier and what the customer asked for.
• Verified status: what was actually done and what still needs checking. Include the date and the source of the information.
• Next action: one specific step and the date it should be checked.
• Receiving owner: the person responsible for that next step; ask them to acknowledge it.
• Blocker or decision: the missing part, answer or approval that prevents progress.
• Promises and source: any agreed timing or terms, linked to the record where they can be checked.

If you cannot verify a detail, mark it unknown and name the person who will check it. A note saying “handed over” does not prove that the receiving person accepted the work.

Try three fictional handovers

H-101 — Bicycle repair: The inspection is complete, but the replacement part has not arrived. Record the inspection result, mark the job Waiting, and ask the receiving owner to check the supplier update tomorrow. Do not promise a collection date until the part and schedule are confirmed.

H-102 — Cleaning visit: The team has a requested date but no confirmed access arrangement. The next owner should check the appointment record and confirm access through the business's normal process. Mark the date as requested until it is actually confirmed.

H-103 — Garden work: The work is finished according to a note, but the authorised reviewer has not checked the work record. Pass the next step to that reviewer as Needs review. Do not mark the job complete simply because the note was handed over.

Close the loop

1. The sender reviews the note against the source record and identifies missing details. 2. The receiving person acknowledges the handover and confirms the next action and check date. 3. If nobody accepts it, the original owner or manager follows up and assigns a responsible person. 4. The recipient updates the actual work record through the normal process after the next step is done.

If an AI assistant helps draft the note, start with the fictional examples. A person should verify every status, date and name before the note is shared. An AI summary cannot establish that the recipient has accepted the handover or that work is complete.
