Supplier Quotes in ChatGPT and Claude: Compare the Same Order on Equal Terms
A small manufacturer needs replacement packaging and asks, “Which supplier quote fits our next production run?” A useful app can organise the existing quotes and expose their differences. Choosing an offer requires more than ranking the lowest unit price.
This example describes a possible MCP app connected to purchasing records in ChatGPT or Claude. Model Context Protocol tools retrieve and save defined business records; no ready-made Kernel Apps purchasing integration or automatic buying capability is implied.
Establish the requirement first
Identify the packaging specification, required quantity, delivery location, and needed-by date. A quote for a different material or minimum order should not appear equivalent just because its product name is similar. Link each offer to its source document or recorded supplier response.
The comparison should show what is known and what is missing. If one quote excludes freight and another includes it, label the difference rather than filling in an estimated charge as though it came from the supplier.
Compare conditions alongside price
Return the currency, quantity breaks, freight terms, quoted lead time, expiry, and any recorded setup charges. A lead time may begin after artwork approval rather than after the order date. That condition can matter more than a small unit-price difference.
- Preserve the original quoted values and dates.
- Separate supplier statements from internal calculations.
- Identify missing delivery or payment terms.
- Keep optional alternatives distinct from specification-compliant offers.
A calculation can explain a total only when the inputs and assumptions are visible. When quantities differ, show the calculation basis and avoid presenting the result as a revised supplier offer.
Prepare a review instead of placing an order
A buyer can save a comparison note that links the requirement, selected quotes, outstanding questions, and proposed next step. The app returns a purchasing review reference after saving it. It should not treat a favourable comparison as permission to issue a purchase order.
A request for clarification to a supplier is also an outbound message. Draft it for review, with the exact recipient and missing terms, rather than sending it as a side effect of comparing records.
What should happen when a quote expires?
Mark the quote as expired using its recorded validity date and request an updated offer through the established process. Keep the old quote as historical evidence rather than silently replacing its price in a saved decision.
