Appointment Booking in ChatGPT and Claude: From Available Slot to Confirmed Booking

“Can I book a bicycle service next Tuesday after work?” A booking app should be able to check the workshop's actual availability, explain the service options, and return a confirmed appointment. A conversational answer that merely suggests a time has not made a booking.

This workshop example shows a potential MCP app connected to an existing scheduling service. It is an implementation scenario, not a report of a Kernel Apps deployment or a built-in calendar integration.

Clarify the service before checking times

The workshop offers a short safety check and a longer full service. Those appointments require different time slots. The app asks which service the customer needs and which workshop location they prefer before retrieving availability.

Translate “next Tuesday” into an explicit date. Show the local time zone, duration, and location alongside each available slot. That gives the customer something concrete to review and avoids treating a natural-language phrase as an exact booking instruction.

Treat availability as temporary

Suppose the service returns 17:30 and 18:15. The customer chooses 18:15, but another booking may take that slot before the write completes. The scheduling service must decide whether the appointment can still be saved.

If the slot is gone, explain that it is no longer available and fetch fresh alternatives. Do not silently move the customer to 17:30. If the service supports a temporary reservation, describe its expiry accurately rather than presenting it as a final appointment.

Review, submit, and show the receipt

Before submission, show the service, date, time zone, location, duration, and the contact details the workshop requires. Ask the customer to confirm the appointment. Keep any payment or deposit process in a separate, clearly identified flow.

After the service accepts the booking, return its booking reference and confirmed details. If the request times out, look for that booking before sending another creation request. A second click should not produce two appointments.

Make changes as clear as the original booking

For “Move it to Friday,” retrieve the customer's existing appointment, show eligible alternatives, and review the proposed change. Preserve the original booking if the reschedule fails. A cancellation should likewise show the appointment being canceled and the service's resulting status.

The minimum connection needs service definitions, availability lookup, account-scoped bookings, and the supported create or change operations. It also needs the workshop's actual rules about lead times and cancellation; the assistant should not invent them.

An interactive slot picker can help customers compare options. A text-only path should still provide explicit dates and a booking reference. Verify the whole flow separately in each intended AI host.

Track confirmed bookings, conflicting-slot responses, and duplicate creation attempts. Those observations tell you more than a count of conversations that mention appointments.
