Field Service in ChatGPT and Claude: From Reported Fault to Scheduled Visit
A café manager says, “The dishwasher stops halfway through its cycle. Can someone visit our branch?” A field service app could identify the equipment, record the symptoms, and arrange a visit through the service desk. The conversation should produce a traceable job rather than an unsupported promise that a technician is on the way.
This is an illustrative MCP workflow for ChatGPT or Claude. MCP tools connect the conversation to asset and scheduling records. It is not a Kernel Apps service-provider integration or a substitute for an equipment manufacturer’s safety guidance.
Identify the asset and location
Ask the manager to choose the branch and registered dishwasher. Use a serial number or asset identifier when several similar machines are installed. The equipment record may provide model-specific service history and approved operating guidance.
Record the observed symptom in the manager’s words. Do not turn an incomplete description into a confirmed diagnosis or invent repair instructions. If there is an immediate safety concern, present the provider’s documented escalation route rather than suggesting continued use.
Create a useful work order
A work order is the service record that connects the asset, fault, customer, and requested work. Capture the contact person, opening hours, access instructions, and when the issue was observed. Ask before including information that other people at the site have not agreed to share.
Show a summary before submission. After the service system saves the request, return its job number and status. If the job requires triage before scheduling, explain that a visit has not yet been booked.
Confirm availability through the scheduling system
Offer appointment windows returned by the provider. The provider may need to check technician skills, travel area, parts, or site access before confirming a time. A free calendar slot alone is not sufficient evidence that the repair can be completed then.
Show any call-out charge supplied by the service before the customer confirms. Do not accept charges or book paid work merely because the customer asked for availability. Keep a proposed slot separate from a confirmed service visit.
What can the customer see afterwards?
Retrieve the job reference and the latest customer-visible status: awaiting triage, appointment confirmed, technician assigned, or completed as recorded. Keep internal technician notes and unrelated customer jobs restricted.
Measure appointment changes caused by missing access details and whether users can reopen their job record. A visit marked completed is not proof of a lasting repair unless the service records that outcome.
